Trice Construction Company, an award winning concrete construction firm based in Chicago, Illinois, has a tremendous opportunity for a Project Assistant.

We seek an aggressive self-starter who is organized and has hands-on experience managing multiple tasks simultaneously. We need a true team player. The Project Assistant responsibilities include supporting the Project Managers in various administrative duties such as maintaining project documentation, planning meetings, performing outreach, tracking budgets and overseeing the minute details associated with task tracking.

Responsibilities

  • Creating/preparing various items such as letters, bid instructions, meeting minutes, weekly updates, memos, proposals, outline specifications, timesheets, and expense reports
  • Preparation for meetings and trainings including scheduling and preparing handouts
  • Answer incoming phone calls and coordinate communication with vendors and customers in the event of a Project Manager's absence
  • Maintain all files, including preparing new files and storing old files
  • Assisting and supporting project team with daily project coordination
  • Organize project management activities, resources, equipment and information
  • Help prepare and organize document control (RFIs, submittals, change orders, claims, etc.)
  • Project estimating
  • Communicate project status to all participants
  • Ensure standards and requirements are met through conducting quality assurance tests
  • Other duties as assigned

Qualifications

  • 1+ years of office-setting experience
  • Customer service experience
  • High standard of integrity and reliability
  • Ability to multi-task while handling urgent request efficiently, quickly, and calmly
  • Able to work under time-constraints and firm deadlines
  • Ability to collaborate with others and lead
  • Strong communication and follow-up skills
  • Ability to establish relationships
  • Critical thinking and decision-making skills
  • Proficient and comfortable with Microsoft Office: Word, Excel, Outlook, etc.

Work Requirements

  • Must be able to work in Chicago, Illinois
  • Must be able to work outside and travel to project sites
  • Able to work some weekends/long hours during work week during deadline
  • Able to read, write, understand, and speak English proficiently
